Workflow optimisation training

This workshop aims to give a solid foundation in analysing and improving process. It's designed for anyone who wants to explore their existing process and find ways to streamline them.

Work is not flowing the way it should. Things take too long. People chase approvals that should not be needed. Information gets stuck between teams. Everyone is busy, but the output does not match the effort going in.

These are workflow problems - and they are some of the most common frustrations in any organisation. The good news is that most of them are fixable, once you can see them clearly.

This course teaches your team to find and fix workflow problems systematically. It is a practical day where you will analyse a real workflow from your organisation, identify what is slowing it down, and design specific improvements.

What you will work on

You will work on a real workflow that is causing problems in your organisation. Not a textbook scenario - something that actually matters to your team.

The day is structured around three practical challenges:

Diagnosing the bottlenecks - Most workflow problems have a small number of root causes that create a large amount of friction. You will learn to identify these bottlenecks - the points where work piles up, slows down, or gets stuck. You will map the workflow as it actually operates (not how it is documented) and use simple analytical techniques to find the real constraints.

Understanding the causes - Bottlenecks exist for reasons. Sometimes it is a capacity problem. Sometimes it is a handoff problem. Sometimes it is an approval step that made sense five years ago but no longer serves a purpose. You will learn to dig into why workflows break down, not just where - because the fix depends on the cause.

Designing improvements - With a clear diagnosis, you will redesign the workflow to remove bottlenecks, reduce friction, and create smoother flow. You will learn practical techniques for simplifying approvals, improving handoffs, reducing waiting time, and balancing workload across teams. The improvements you design will be specific, practical, and ready to test.

Who this is for

This course is for anyone who is responsible for how work flows through their team or organisation - operations managers, team leaders, service managers, project managers, and improvement leads. It works particularly well when people from different parts of the same workflow attend together, because the biggest improvements often happen at the boundaries between teams.

What you will take away

You will leave with a clear diagnosis of what is slowing your workflow down, a redesigned workflow with specific improvements, and a plan for testing those improvements. You will also have practical skills for analysing and improving workflows that you can use again and again.

How the session works

The day is built around practical exercises. Short input on workflow analysis techniques leads into hands-on work on your real workflow, with group discussion to share insights and challenge assumptions. You will work in small teams throughout.

We bring together approaches from lean thinking, process mapping, and systems analysis - choosing the right technique for each situation rather than following a single methodology.

What makes this different

Most workflow improvement focuses on the workflow itself - the steps, the sequence, the timing. That matters, but it is not the whole picture. Workflows exist within an organisational system. How teams are structured, how decisions get made, how information flows between departments - all of these shape how work moves. We help you see and address the wider patterns, not just the immediate steps.
